Unless explicitly authorized, under George Mason policies (University Policy Number 1147 - Signature Authority for University Contracts) requesters and users MUST NOT accept, sign, or approve terms of use or agreements (including those listed on vendor or solution provider’s website) that may include purchasing and/or legal terms and conditions that are not acceptable to the university (such as indemnification of a vendor, governing law of another state, payment of attorney’s fees, waiver of sovereign immunity, etc.). Do not submit an ASRB ticket, if subscribing to the service you are requesting involves click-through or similar individual-level agreement. 

For assistance with a purchase, including negotiations of terms and conditions, requesting user or department is responsible for contacting the Purchasing Department at purch1@gmu.edu.

Additionally, requests involving artificial intelligence (AI) tools are subject to specific procurement, legal, and compliance constraints. Due to the rapidly evolving nature of this market and the contractual requirements imposed by vendors, certain AI products cannot be approved. At this time, George Mason University cannot approve individual-user subscriptions for generative AI tools (e.g., ChatGPT, Claude, or similar services) that require acceptance of vendor-provided, non-negotiable terms and conditions. As a result, users should not submit ASRB requests for:

• ChatGPT
• Claude
• Similar consumer-grade AI SaaS tools without institutional agreements

Such requests will be declined during review. The university offers PatriotAI (Anthropic, Meta, OpenAI models) and Copilot (OpenAI models) which are offered through George Mason’s subscribed contracts.
